How to create a Screening on Round One AI

This guide walks you through the complete process of setting up a candidate screening on the Round One AI dashboard. Starting from creating a new screening for a specific job role, you will learn how to generate tailored interview questions, configure knockout criteria, and establish a grading rubric suited to the role’s requirements. You will also see how to upload candidate CVs and invite candidates to participate in the screening via a shareable link. Follow each step carefully to ensure a smooth and effective screening process that strengthens your recruitment efforts.



Before You Begin

Please ensure the following are ready before starting:

  • Active Round One AI account with login credentials.
  • A prepared job description or job role title for the position you are screening for.
  • Candidate CVs available to upload (optional — you may also invite candidates via a link).
  • Access to your ATS system (optional — if you wish to pull candidates automatically).

Setting Up the AI Dashboard for Screening Candidates

1. Access the Dashboard

  • Login to RoundOne.ai and make sure you are on the dashboard.
  • Navigate to the left side and click on the ‘Dashboard’ tab.
  • Click on ‘Create New Screening’.

2. Create a New Screening

  • Enter the job role or job description you are looking for (e.g., ‘Data Engineer’).
  • Click on ‘Generate’.

2b. (Optional) Create a Public Job Listing

  • On the Create New Screening screen, you will see a checkbox labelled “Also create a public job listing” at the bottom of the input area.
  • Tick this checkbox if you want RoundOne AI to automatically generate a public-facing job listing alongside your screening.
  • This listing can be shared with candidates so they can apply and enter the screening directly via a public link.
  • If checked, you will be prompted to fill in the Job Listing details after completing the screening setup (see Step 8b below).
  • Leave this unchecked if you only want to screen candidates privately without a public job post.

3. Review AI Suggestions 

  • RoundOne AI will suggest its Screening Outline for the role.
  • Edit the suggestions as needed or add your own custom questions.

4. Set Knockout Questions

  • Identify priority questions (e.g., ‘2+ years data Engineer experience’).
  • Click the Zap icon next to it to mark these questions as knockout questions.
  • You can add or remove these configurations as per your needs.

5. Define Grading Rubric

  • Move to the grading rubric section.
  • Set criteria for evaluation (e.g., SQL proficiency, data pipeline experience, cloud platform knowledge).
  • Adjust the weighting (high, medium, low) for each criterion.

6. Customize Criteria 

  • Edit passing and failing answers for each criterion.
  • Add or remove criteria as per job role requirements.
  • Then click “Next” to preview the assessment.

7. Choose Accent and Agent Name 

  • Select the Language, Accent and Voice for the AI agent (e.g., English British male).
  • Assign a name to the AI agent (e.g., ‘Jack’) — this is the representative name the agent will use when speaking to candidates.

8. Test the Screening Process 

  • Test the screening process to ensure it works as intended.
  • Confirm that knockout questions are functioning correctly.
  • Once satisfied with the setup, approve and create the screening.

8b. Set Up Your Public Job Listing

This step only appears if you ticked “Also create a public job listing” in Step 2b.

  • After approving your screening, you will be taken to the Job Listing step — the final step in the setup wizard (Configure → Rubric → Preview → Job Listing).
  • Under Job Details, fill in: Company Name (leave blank to use your organisation name), Location (e.g., New York, Remote), Department, and Employment Type (e.g., Full-time, Part-time, Contract).
  • Toggle the Salary switch on if you wish to display salary information on the public listing.
  • In the Job Description field, write a description of the role or click “Generate with AI” to let RoundOne AI draft one for you. Markdown formatting is supported.
  • Under Application Settings, toggle Require CV Upload on or off depending on whether applicants must upload a CV/resume, and optionally set a Candidate Introduction requirement if you want candidates to record a short video intro or voice note.

Pre-Screening Questions

  • Scrolling down on the Job Listing page, you will find the Pre-Screening Questions section. These are mandatory questions candidates must answer before submitting their application — wrong answers will automatically disqualify them.
  • Click “+ Add Question” to add a question (e.g., “Familiarity with cloud platforms (AWS, GCP)” or “3+ years data engineering experience”).
  • For each question, set the Expected Answer (e.g., Yes) and a Rejection Message that will be shown to candidates who answer incorrectly (e.g., “You do not meet the mandatory requirements”).
  • You can add as many pre-screening questions as needed. Use the trash icon to remove any question.

Email Templates

  • Below Pre-Screening Questions, you will find the Email Templates section. These are auto-reply messages sent to candidates when applications are received or rejected.
  • Auto-Reply Message — Toggle this on to automatically send a confirmation email to candidates as soon as their application is received. Use placeholders such as {candidate_name}, {job_title}, and {company_name} to personalise the message.
  • Rejection Message — Set up a rejection email template that will be saved and sent whenever you manually reject an applicant from your dashboard. The same placeholders ({candidate_name}, {job_title}, {company_name}) can be used to personalise the rejection message.
  • Once all details are complete, click “Create Screening & Job Listing” to publish your screening and live job listing simultaneously.

9. Add Candidates

  • Upload existing CVs or fetch from your ATS system.
  • Share the screening link with candidates via email or LinkedIn, or add them directly by uploading their details.

10. Candidate Screening

  • Once candidates access the link, they can fill in their details and begin the screening process independently.
  • The AI agent will introduce itself, ask the pre-set screening questions, and apply the knockout and grading criteria automatically.
  • Candidates can complete the screening at their own pace from any device with an internet connection.
  • You will receive a notification once a candidate has completed their screening session.

11. Review Results

Once screening sessions are complete, return to your dashboard to review candidate results.

  • Navigate to the screening you created and open the “Candidates” tab to see all submitted results.
  • Review each candidate’s score, grading rubric breakdown, and knockout question responses.
  • Use the results to shortlist top candidates and progress them to the next stage of your hiring process.
  • You can also export candidate reports or share them with other members of your hiring team.
