Interview scheduling

Definition

Interview scheduling is the process of arranging interview times between candidates and interviewers, often automated with self-booking links.

Scheduling looks simple but involves several moving parts: interviewer calendars, time zones, room or video links, panel availability and reschedules. Done manually, a single slot can take several rounds of email. Self-booking tools show candidates open times pulled from interviewer calendars, send confirmations and reminders, and let people move a slot without contacting the recruiter. Panel interviews are the hardest case, since every member needs to be free at once.

Delays between stages are one of the main reasons candidates drop out or accept other offers, especially in hourly and high-volume roles where people apply to several employers at once. Fast, flexible booking, clear reminders and reasonable notice all reduce no-shows. Tracking the time from invitation to confirmed slot shows whether scheduling is quietly adding days to time to hire.
